Position Summary
We’re seeking a detail-oriented and proactive Accounting & Administrative Coordinator with experience in the restaurant and bar industry. This blended role supports day-to-day financial operations, administrative workflows, and system management across the business. The ideal candidate is a self-starter who is comfortable working independently, troubleshooting issues, and optimizing processes using hospitality-focused tools.
Accounting & Financial Support
- Manage daily sales reconciliation and ensure accuracy between POS (Toast) and accounting systems
- Process accounts payable and receivable, including vendor payments and invoice tracking
- Maintain and support bookkeeping in QuickBooks Online (QBO)
- Assist with financial reporting, budgeting, and cost control
- Monitor cash handling procedures and investigate discrepancies
- Work closely with ownership/management on financial insights and operational improvements
- Oversee inventory tracking using systems like MarginEdge
- Reconcile inventory counts, food/beverage costs, and variances
- Collaborate with kitchen/bar teams to maintain accurate product costing
- Identify opportunities for waste reduction and margin improvement
- Maintain organized records, documents, and compliance files
- Support payroll coordination and HR administrative tasks (onboarding paperwork, tracking, etc.)
- Interface with vendors, service providers, and internal teams
- Assist with operational reporting and KPI tracking
- Administer and troubleshoot POS (Toast) and related third party integrations
- Maintain and optimize workflows across accounting, inventory, and event systems
- Serve as the go-to resource for resolving technical/system issues
- Recommend and implement process improvements leveraging technology
- Manage or assist with event coordination using tools like SpotHopper
- Support event tracking, bookings, and reporting
- Coordinate with marketing and operations for promotions and special events
- 2+ years of experience in restaurant/bar or hospitality operations (required)
- Hands-on experience with:
- POS systems such as Toast
- Inventory platforms like MarginEdge
- Accounting software (QuickBooks Online preferred)
- Event tools such as SpotHopper (or similar)
- Strong understanding of hospitality financial workflows (sales, COGS, inventory, labor)
- Proficient in Excel/Google Sheets and reporting tools
- Self-starter with the ability to work independently and prioritize tasks
- Strong problem-solving and troubleshooting mindset
- High attention to detail and organizational skills
- Ability to communicate effectively across departments
- Comfortable in a fast-paced, dynamic hospitality environment
- Tech-savvy and adaptable to new systems
- Experience in multi-unit restaurant operations
